To support our Finance and Administration colleagues, we are looking for an enthusiastic & dynamic Finance and Administrative Assistant.

The scope includes a daily variety of topics which are centralized on a finance part, an administrative part and a document control part. You will be guided and coached by experienced colleagues and will become part of an ambitious team.

The key responsibilities of this position include:
  • Support of the general bookkeeping process (incoming & outgoing invoices).
  • Review the monthly interim payment certificates from the Subcontractors.
  • Support with the monthly finance reporting of our activities.
  • Support on our quarterly and yearly statutory reporting (audits, taxes,…).
  • Handling, following-up and processing the expense notes of employees.
  • Filing of all accounting documents in order to comply with local standards.
  • Keep track of monthly timesheets and leave requests and leave plannings.
  • Assist and plan the visits of external colleagues (transport, accommodation,…).
  • Administration of company cars & fuel consumption (maintenance, repairs,… ).
  • Assist on our team events.
  • Contact person regarding the rental accommodation of our (foreign) colleagues.
  • Administration of the work permits of our colleagues (submission, extension,…).
  • Support on the document control system of our various operational Projects.
    (incoming & outgoing correspondence, letters of subcontractors and clients)
  • Support on the document control system of our various tenders for future Projects.
  • Daily filing of all legal and contractual documents on our operations.
Knowledge, skills, and experience required
  • University degree.
  • Fluent in English, additional languages are an advantage.
  • Experience in a similar Finance and Administration position is a strong plus.
  • High communicative and organization skills, responsible, accurate and pro-active.
  • Experience or interest within a Project environment is a strong plus.
  • Strong knowledge of Microsoft Office and Aconex (or another document control software).
  • You are autonomous and appreciate teamwork.
  • Driving license.
