PERSONAL ASSISTANT/OFFICE MANAGER
Job brief
We are looking for a responsible Personal Assistant/ Office Manager to provide personalized secretarial and administrative support in a well-organized and timely manner. You will work on a one-to-one basis on a variety of tasks related to directors working life and communication.
Responsibilities
- Act as a first point of contact between the manager and internal/external clients
- Look after visitors, book appointments and managers schedule
- Screen and direct phone calls and distribute correspondence
- Handle requests and queries appropriately and in timely manner
- Manage diary and schedule meetings and appointments
- Attend meetings; take dictation and minutes and ensure their manager is well prepared for meetings
- Reply to emails, faxes and post in a professional manner
- Make travel arrangements and accommodation
- Produce reports, presentations and briefs
- Devise and maintain office filing system
- Assist with projects their manager might be working on by researching or writing reports
- Source office supplies
- Liaise with staff, suppliers and clients
Additional responsibilities may include:
- Standing in for the manager in their absence
- Acting as office manager and supervising other administrative staff
- Dealing with accounts and budgets
Requirements
- Arabic and English fluent speaker is a must
- Proven work experience as a personal assistant
- Knowledge of office management systems and procedures
- MS Office proficiency
- Flexibility and ability to adapt quickly to changes
- Ability to work under pressure and in fast paste environment
- Ability to work with different nationalities and cultures
- Outstanding organizational and time management skills
- Up-to-date with latest office gadgets and applications
- Ability to multitask and prioritize daily workload
- Excellent verbal and written communications skills
- Discretion and confidentiality
Education:
- High School degree
- Previous clerical, secretarial or commercial work experience is essential
- PA diploma or certification would be considered an advantage
- A degree in English, business, IT, languages, information science, administration or management can be beneficial, particularly for the most prestigious positions
